A thank-you note after an interview is the most reliably neglected professional courtesy in the hiring process. Surveys suggest fewer than 25% of candidates send one. Among those who do, most send something so generic it leaves no impression.

Done well, a thank-you email accomplishes three things simultaneously: expresses gratitude, demonstrates follow-through, and adds one piece of new information that wasn't in the interview. Here are 10 templates covering the scenarios you'll actually encounter.

The Rule Before All Rules

Send within 24 hours. Same day is better. The window closes fast: after 48 hours, the interview is fading and the note loses its connection to the conversation.

Template 1: Standard Post-Interview Thank You

The baseline. Use when you want to express appreciation and reinforce your interest.

Subject: Thank you — [Your Name] / [Role Name]

Hi [First Name],

Thank you for taking the time to speak with me today about the [Role] position. I really appreciated [one specific thing they said or discussed — a challenge, a project, an insight about the team].

The conversation reinforced my enthusiasm for the role. I'm confident that my background in [relevant area] would let me contribute quickly to [specific team goal or challenge they mentioned].

Looking forward to next steps.

Template 2: After a Panel Interview (Each Person Gets Their Own)

Send individual notes to each panelist. Reference something specific to each conversation.

Hi [Name],

Thank you for being part of the interview today. I especially appreciated your perspective on [specific topic they raised or question they asked]. Your point about [specific detail] gave me a much clearer picture of the team's priorities.

Template 3: After a Technical Interview

When there was a whiteboard problem, coding challenge, or technical component:

Same as standard, but acknowledge the medium if anything went wrong:

Template 6: After a Second-Round Interview

Second-round notes should be more substantive than first-round notes.

The follow-up after a final round should be genuine and specific.

Thank you for letting me know. I genuinely appreciated the opportunity and the quality of the conversations throughout the process.

The consistent elements across every template: personalization to the specific conversation, brevity (never more than 3 short paragraphs), and a forward-looking close. The interview thank-you is not a form letter — it's a real note from a real person who paid attention.
